Have you ever wanted to have a "report" showing you the notes on a contact's record? This tutorial will show you how to do that. While there is no reporting option on the reporting tab for this, we can however create a filter and then I can show you how to print this filter and how to have it show the notes on the print out.
Step 1: Creating the Filter
To create a filter you will go to the contacts tab and make sure you are in list view. To add a new filter, click the 3 dots to the right of the filter drop down. Choose Add.
First name the filter then come down in the area the says search column. For the first search column choose "Contact.Notes" then for the operator, choose "Is Not Blank"
There are various notes as well such as Appointment Notes or Job Notes, use any one you wish, contact notes is for the notes section on the contact record
Once we have which note you want, lets click the blue Add Row button to add another row.
For this row, we want to be able to search a date range, we used Inquiry Date Range, but you can use contact date, appointment date and etc to your leisure.
For the operator you can choose after and then insert a date, in this case we want from 03/13 - present so you only need to set the one date. If you wish to close off the date range, you'd have to add another row, choose the same date search column but this time change the operator to Before and then put in that closing date.
(If you did want this, to make sure you set it up right, you'd have 3 columns for your filter like this:
1st Row: Contact Notes - Is not Blank
2nd Row: Inquiry.Inquiry Date - After - 03/31/2022
3rd Row: Inquiry. Inquiry Date - Before - 03/31/2022 (you can also choose another closing date)
Once you have your filter setup, make sure to save it and then move to step two.
Step Two: Print Assistant.
To print this filter to show the notes click on Print Assistant on the same list you chose list view and then click Print Wizard
Next Choose List from the Radial Options and then click Select on Customer List 2.0.
Click the blue next button to proceed.
Next for this example we will choose our saved filter and then click next
The next page will show you how many contacts will show on the print, just click next again
You can name the document whatever you'd like and then click Generate PDF.
