Importing Contacts into MarketSharp

NOTE: Prior to importing a list of contacts, Marketsharp Technical Support needs to build an Import Structure (aka import file format) on the back-end. Please reach out to Support prior to the first time importing by phone at 1-800-596-4368 or email support@marketsharp.com letting Support know you need an Import File Format/ Import Structure created. Please also include the order of the columns in the file you will be uploading (Column A is First name, column B is last name, column C is address, etc.) or attach the file to your email request so support knows how to structure the Import File Format/Import Structure.

If you are needing a more detailed import with items not included in the list at the top of the article, the Marketsharp Development can do imports on the back end with more details. What is Importing?
Importing a list of contacts into MarketSharp can be done with the use of an Excel (CSV or txt) file. This can be done by the System Administrator or anyone with access to the Admin Section of MarketSharp.
How to Import an Excel File
Open the Excel file Make sure all columns are correct and ready for importing: First Name, Last Name, Address, City, State, Zip, Phone, Email, etc each have to have their own column. The file might look something like this: NOTE: The phone number(s) do not need to have any special formatting. Remove the column header if there is one (if the column header is not removed, that row will be imported as a contact) The image above does not have a column header. Make sure that there are no commas (,) in the file as that will cause errors when importing.
Removing Commas from Excel File
Open the Excel file, locate and click on the Find and Select section in the top left hand side of the Excel page. Then select Replace.
You will see a pop up box like this. In the 'Find what' box, type a comma (,) and leave the 'Replace with' box empty. Then select 'Find All' and if there are any commas to replace select 'Replace all.'
Save the Excel File
Go to File in the upper left of Excel Choose Save As
Name the file and save it somewhere it can easily be found Choose the Save Type as to CSV (comma delimited) (*.csv)
Choose Save to save the file.
Importing the file to Marketsharp
Go back to MarketSharp and click Admin from the drop-down in the upper right corner
Choose Import Contacts from the Importing and Exporting b
- Type in a Record Source (this needs to be unique for every import! For example, add a date at the end of your record source name to make it unique so the Record Source could be Website Leads 02/04/22. Just make sure to update the date to the current date for every import)
- Set the Contact Type is set to the area the contacts should import into (for example: Prospects, Leads, or Customers)
- Choose the Import Structure that will work with the file – (this will be made by Technical Support)
- Click Choose File to locate the list of contacts Choose the CSV file that was previously saved
- Click Import Contacts Wait until the green bar appears that says This file is currently being processed
- Go to the Contacts Tab Choose the List view for the section in which the contacts were imported (for example Prospects List View)
- Click the '...' (3 dot) menu to the right of the filter drop down and choose Add on the filter line Name the filter (Suggestion: Name the filter the same as the Record Source)
- In the Search Column choose Contact.Record_Source In the Operator choose Equals In the Search Value type in the Record Source
- Choose Get Count in the bottom right to make sure the filter works
- Click Save
Tracking the Import
A filter can be used to track the progress of your upload. Please click here for instructions on how to create a filter. Below is an example of how to build the filter to find the contacts from your import. Just make sure to include the record source used in your import in the search column to find the contacts from that import.
Moving the Contacts to a Marketing Queue
After importing contacts, if you would like them moved into a marketing queue to feed a calling queue in the call center, create a filter finding the contacts from the import and let us know in tech support what contact type the filter is, the name of the filter, and what marketing queue you would like the the leads moved to and Tech Support will move the contact on the back end. The best way to find the contacts is to search for the record source name used in the import. More help on creating filters here.
